An Order is the billing document used to invoice the customer. A Probill is a specific leg within that order — a pickup or delivery movement. One Order can have multiple Probills for multi-stop loads. You process at the Probill level but invoice at the Order level.
💡 Tip: This question immediately separates genuinely trained candidates from resume padders. Your answer will impress.
I open the Order screen, create a new Order for the customer and add the Probill with pickup and delivery locations — ensuring both are geocoded. I enter freight details: commodity, weight, pieces, and any accessorials. I assign to the dispatch board, select driver and equipment, create trip events, then monitor in Fleet Manager and update statuses as the driver checks in.
💡 Tip: Mentioning geocoding and trip events shows deep system knowledge. Most candidates only say "I create the order."
Get the exact location. Contact roadside assistance immediately. Check for a nearby relay driver. Call the customer proactively with an updated ETA — never let them find out on their own. Document everything in Transplus and notify my supervisor. Stay in contact with both the driver and customer until resolved.
💡 Tip: Show: calm thinking, proactive customer communication, documentation, escalation. Hit all four and you will impress any hiring manager.
Listen fully without interrupting. Acknowledge: "I completely understand and I am sorry this happened." Pull up the load in Transplus immediately. Give a specific ETA — not "soon." Explain briefly what happened. Confirm my direct contact for updates. Follow up after delivery. Never blame the driver.
💡 Tip: Never make excuses. Take ownership, give specifics, follow through. That is what separates good dispatchers from great ones.

Transplus is a full-featured TMS built specifically for Canadian carriers. It handles order entry, dispatch management, driver payroll, fuel imports, customer invoicing, cross-border manifests (ACE/ACI), IFTA reporting, and more — all in one system.
The heart of Transplus. This is where you create orders, assign drivers, track loads, and manage your entire dispatch board. You'll spend most of your time here.
Where you set up and maintain your customers, carriers, drivers, trucks, trailers, and freight items. Think of this as the master database that feeds everything else.
After a load is delivered, you process the trip here — confirming PODs, creating driver pay records, and preparing for invoicing.
Where you invoice your customers. The Invoice Rendition board shows all completed trips ready to bill — you can invoice individually or in batches.
Cross-border freight between Canada and the United States requires electronic customs filing before the shipment crosses the border. In Canada, this means ACE and ACI — two systems that every cross-border dispatcher must understand.
ACE (Automated Commercial Environment) is the US Customs and Border Protection system. When a Canadian carrier is delivering freight into the United States, the dispatcher must file an ACE manifest through Transplus before the truck crosses the border. This electronically notifies US Customs of the shipment details — driver, truck, trailer, and cargo.
ACI (Advance Commercial Information) is the Canadian equivalent — managed by the Canada Border Services Agency (CBSA). When a US carrier or a Canadian carrier returning from the US is bringing freight into Canada, an ACI manifest must be filed. The filing deadline is typically 1 hour before arrival at the Canadian border for highway shipments.
